Choose a predictable structure

Start with folders for platform, account, year, and project. Consistency matters more than complexity. A structure such as Instagram / BrandName / 2026 / Campaign makes browsing possible without special software.

Name files for humans

Use a date, short subject, media type, and sequence number. Avoid filenames made only of random IDs. Keep names short enough to sync across Windows, macOS, cloud drives, and mobile devices.

Record context separately

A media file rarely contains the caption, creator permission, campaign notes, or original URL. Store those details in a CSV or text document beside the files. This is especially important for teams that must prove usage rights later.

Follow the 3-2-1 principle

Keep three copies, on two kinds of storage, with one copy off-site. Test restores occasionally. A backup that has never been opened is only an assumption.
